What is your real cutoff for guest-count changes?

On a planning calendar, "final count" is one date. On event day it affects seating, meals, staffing and the invoice. If the count changes after the BEO goes out, I would want one person to approve it, a revision time on both the BEO and floor plan, and a named recipient in catering and setup who confirms the new version.

I work on MyVenueHQ, which focuses on venue event workflows. How do you set the cutoff in your contract, and which late changes do you still accept without repricing?

:) I have to admit that have never had a single event with a set final count > there are always a number of people (incl. speakers) who will no turn up, and people might sign up the last evening or at the doors :)
